Design Cleaning provides commercial cleaning, disinfection, and decontamination services to organisations across the Greater London area. Its clients span healthcare, education, food production, and offices.
Design Cleaning has built its business around sustainability, from an all-electric fleet to recycled-plastic equipment and eco-friendly cleaning products. In September 2020, the company began working with Culverdocs with a clear goal: to transition away from paper.
The Challenge
As a business rooted in environmental responsibility, Design Cleaning’s reliance on paper was both time-consuming and at odds with its values.
Being eco-conscious is a very important part of our business model. All our forms were done on paper which was time consuming and not in line with our environmental ambitions.

The Solution
Culverdocs worked with Design Cleaning to digitise its forms, offering forms creation as a managed service to suit Elad’s limited time.
Starting with the most paper-heavy process, employee onboarding, the platform was rolled out across the business, including:
- Employee onboarding, including contracts, DBS disclosures, health questionnaires, and inductions.
- Deep cleaning and specialist cleaning reports.
- Monthly quality audits.
- PPE provision and keyholder logs.
- Vehicle checks.
- HR forms, including a record of discussion form that saves automatically to employee records.
By replacing paper with digital workflows, Design Cleaning gained greater consistency, oversight, and the ability to manage its operations remotely.
The Impact
Faster Employee Onboarding
Digitising onboarding dramatically cut the time spent per new employee.
It used to take me 45 minutes… Now, using Culverdocs, the same process takes around ten to fifteen minutes – that’s a saving of at least half an hour per employee.
More Organised, Evidenced Audits
Quality audits now follow a consistent format, making them easier to record, monitor, and benchmark over time.
Before the Culverdocs forms, the audit process was very ad-hoc… Now it always follows a specific format, so it is more organised and systematically evidenced.
Simple for Staff to Use
The e-forms were adopted straight away, with built-in prompts guiding staff through each task.
The staff love the new e-forms… it’s so simple to use. The cleaning report prompts them to take photos before and after.

Design Cleaning relies on fast, consistent support from the Culverdocs team.
The support has been really good. Anything I ask, they are on it. They will have an answer for me within 24 hours max, usually one or two hours.
The Results
